What is Calilio?
Calilio is a cloud business phone system. It gives a team virtual phone numbers and lets everyone make and take calls and send texts from a web app, iOS and Android apps or a Chrome extension called Calilio Dialer, without desk phones or PBX hardware. Numbers are available to buy or port in more than 100 countries, and every plan includes one free local number in the UK, US or Canada.
The company is CALILIO PTE. LTD., which lists offices in Singapore, Australia and New Zealand.
Calilio solves a familiar small-business problem: getting a professional work number, call routing and texting for a few people without paying call-centre prices. Its angle against similar budget tools is two things. First, each plan bundles a fixed allowance of calls and SMS to and from US and Canadian numbers, so a small North American team may pay little beyond the seat price. Second, it includes free monthly minutes of AI features, including AI transcription and an AI Voice Agent that answers incoming calls when nobody else can.
Everything beyond the bundle is paid from a prepaid wallet. That model keeps the plan price low but means your real monthly bill depends on where you call and how much.
Who it is for
- Founders and freelancers who want a separate business number on their phone and laptop for $12-$15 a month.
- Small sales and service teams in the US and Canada whose call volume fits inside the bundled minutes.
- Businesses with customers abroad that want local numbers in several countries from one account.
- Owners who miss calls and want the AI Voice Agent to pick up, take details and leave a transcript.
- Small outbound teams on Premium that need a Power Dialer, call disposition and bulk SMS.
Who should not use it: teams that want to try before paying (there is no trial and the refund is usage-limited), companies that depend on Salesforce, Zendesk or Zoho integrations or a public API today (all listed as coming soon), and anyone who needs to know exactly what AI features cost at volume, because Calilio’s own pages show two different overage rates for the AI Voice Agent.
Key features
- Virtual numbers and porting. Buy local, toll-free or mobile numbers in 100+ countries, or port your existing number. Calilio says porting has no fee and its team handles the carrier switch. One local UK, US or Canadian number is included free on each plan.
- Calls and SMS from any device. The web app (Web Dialer), mobile apps and Chrome extension share a Unified Callbox for calls, messages and voicemail. The comparison table also lists multi-device access and Call Flip, plus call logs, contact import and phone-contact sync.
- Team routing. Phone number sharing and ring strategies (simultaneous, sequential or round-robin) on all plans, with teams, agent availability and user permissions. Premium adds an IVR with business-hours routing and call transfer.
- Recording and voicemail. Call recording and storage with free monthly minutes, voicemail with transcription, voicemail-to-email, call blocking, filters and music on hold.
- AI Voice Agent (Beta). Answers incoming calls only, handles up to 5 calls at the same time, and produces a transcript and an AI call report with a summary, sentiment and follow-up suggestions for each call.
- AI transcription and analytics. 10 free minutes of AI transcription a month on Standard and 100 on Premium. Standard has a basic call analytics dashboard; Premium’s is described as AI-powered.
- Sales and supervisor tools (Premium). Power Dialer with call disposition, bulk SMS, saved replies, and Live Call Monitoring with listen, whisper, barge-in and end-call controls.
- Integrations. HubSpot, Pipedrive, Pabbly Connect and LeadHeed are listed. Salesforce, Zendesk, Zoho CRM and Kudos CRM are marked coming soon.

The details that change the real cost:
- Bundles cover US and Canada only. The included minutes and SMS apply to calls and texts to or from US and Canadian numbers. Other countries are charged from the wallet at per-country rates.
- The wallet starts with $1. Each subscription includes $1 of credit. Once it is spent, you must top up the wallet to keep making and receiving calls and SMS beyond the bundle.
- Numbers are extra. Apart from the one free number, numbers are billed separately and the price varies by country. The rate table did not load when we checked, so we cannot quote them.
- US texting registration. A2P 10DLC registration for the US and Canada is billed “pay per attempt”; Calilio does not publish the amount.
- AI overage is inconsistent. Calilio’s homepage lists $0.035 and $0.025 per minute for the AI Voice Agent after the free minutes, against $0.25 and $0.15 on the pricing page. Ask before you plan around heavy use.
- AI transcription overage beyond the free minutes is not published.

How to use Calilio: step-by-step
1. Sign up and claim the free number
- Go to calilio.com and choose Sign Up, Get Started or Claim Free Number. If you want a walkthrough first, use Book Free Demo.
- Complete account verification. Calilio links verification to your first free local number in the US, Canada or the UK.
- Pick a plan. Start on monthly billing if you are unsure: you can move to annual once you know the plan fits.
Keep the refund rules in mind during your first two weeks. The 14-day refund only applies if you stay under 30 call minutes and 20 SMS and do not use the number to receive verification codes from third-party services.
2. Top up the wallet
Look at where your calls go. If you only call US and Canadian numbers and stay inside the bundle, the $1 credit may last a while. If you call other countries, buy extra numbers or text internationally, load the wallet before your first working day, or calls will stop when the credit runs out.
3. Port or buy your other numbers
If you already have a business number, start a port request rather than announcing a new number to customers. For other markets, buy local numbers in the countries where you have customers so they see a familiar caller ID.
4. Invite the team and set ring strategies
- Add users and set their permissions. Remember Standard’s 10-user cap.
- Share numbers with the people who should answer them, so calls, texts and voicemails land in each person’s Unified Callbox.
- Choose a ring strategy per shared number: simultaneous for a small team, sequential to try one person first, or round-robin to spread calls.
- Install the mobile apps and the Calilio Dialer Chrome extension so calls follow people away from the browser.
5. Set up voicemail, greetings and (on Premium) an IVR
Record a phone greeting and voicemail message for each number and turn on voicemail-to-email. On Premium, build an IVR with business hours: “Press 1 for sales, press 2 for support”, with an after-hours route to voicemail or the AI Voice Agent. Keep the menu to one level for a small team.
6. Turn on the AI Voice Agent for missed calls
- Enable the AI Voice Agent on the number where missed calls hurt most, usually the main line.
- Decide before you configure it what callers should hear and what you need back: your business name, the caller’s name, number and reason for calling, and when someone will call back. Calilio does not document the agent’s setup options on its pricing page and we have not tested them, so check what the settings let you control.
- Place test calls from a personal phone, including an awkward one, and read the transcript and AI call report it leaves.
- Watch the minutes. Standard includes only 10 free minutes per user a month, which is a handful of calls.
The agent answers incoming calls only. It does not make outbound calls for you.
7. Connect your CRM and register for texting
Connect HubSpot or Pipedrive if you use them, then make a test call to a contact that already exists in the CRM to check it is logged against the right record. If you text US or Canadian customers from a local number, submit A2P 10DLC registration early, because carriers filter unregistered business texts.
Tips to get better results
- Estimate your traffic before choosing a plan. Premium’s 1,000 outgoing minutes per user are far more than Standard’s 200, and on heavy US calling the difference can pay for the upgrade.
- Keep international calling in check. Anything outside the US and Canada comes from the wallet. Check the per-country rate in the pricing table before running a campaign abroad.
- Treat the AI Voice Agent as a safety net. Point it at missed and after-hours calls, not at every call, so the free minutes last and humans handle the conversations that matter.
- Read the AI call reports daily. A transcript of a missed sales call is only useful if someone calls back the same day.
- Use call disposition on Premium. Tagging each Power Dialer call with an outcome gives you a list you can follow up instead of a pile of call logs.
- Tell callers they are recorded. Recording and AI transcription may need a notice in your greeting, depending on where you and your callers are.
- Keep the wallet above zero. Set a reminder to check the balance weekly; a dry wallet stops calls beyond the bundle.
Limitations and common problems
- No trial and a narrow refund. Workaround: book the free demo, then test lightly in the first 14 days, staying under 30 minutes and 20 texts if you may want your money back.
- Wallet surprises. Calls outside the US and Canada, extra numbers and texting fees all come from the wallet. Workaround: check the country rate table and keep a small top-up habit.
- Standard is basic. It has no IVR, call transfer or Power Dialer, and a 10-user cap. Teams that need those should budget for Premium from the start.
- Few integrations. Only HubSpot, Pipedrive, Pabbly Connect and LeadHeed are listed as live. If you rely on Salesforce or Zendesk, do not buy on the promise of “coming soon”.
- Unclear AI pricing. Two different AI Voice Agent overage rates appear on Calilio’s own site, and the AI transcription overage is not published. Get the rate in writing if AI is the reason you are buying.
- Unknown data handling. Calilio does not state on its pricing page where call data is stored, which AI provider it uses or whether call data trains models. Teams with strict privacy rules should ask before recording calls.
Alternatives
- KrispCall - a close match on price and international numbers, with more integrations and a Power Dialer from its middle plan, but no AI Voice Agent yet.
- Quo (formerly OpenPhone) - the cleaner pick for text-heavy small teams in the US and Canada, with a free trial.
- CallHippo - another VoIP system with numbers in many countries and a dialer; worth quoting side by side.
- CloudTalk - built for call centres, with deeper routing and analytics at a higher price.
- Unitel Voice - flat pricing and unlimited US minutes for a solo owner or tiny office, without AI call features.
