What is CloudTalk?
CloudTalk is cloud call-centre and business phone software for sales and support teams. You rent virtual phone numbers, route incoming calls through IVR menus and queues to the right agents, and place outbound calls from a desktop or mobile app, with every call logged, recorded and pushed to your CRM. It sits between a simple shared business line and a heavyweight enterprise contact centre.
The company runs offices in Toronto, New York, London, Mexico City, Barcelona, Lisbon, Munich, Prague and Bratislava, and it prices its plans in euros. On top of the phone system it sells two families of AI add-ons: AI Conversation Intelligence (transcripts, summaries, sentiment and call scoring) and AI Voice Agents (an AI receptionist or specialist that answers calls for you).
The problem it solves is coordination. Once more than a handful of people answer or make calls, you need rules for who picks up, a record of what was said, and numbers on how the team is doing. CloudTalk provides those without hardware or a telecoms project.
Who it is for
- Inbound support teams that need skill-based routing, queues and IVR so callers reach the right person.
- Outbound sales teams working call lists with the Power Dialer, Parallel Dialer or the newer AI Sales Dialer.
- International teams that need local numbers in many countries; CloudTalk offers local numbers in 160+ countries and calling bundles for Europe, the US and Canada, and parts of Latin America.
- Managers who want live monitoring, call recordings and analytics in one place.
- Teams already living in a CRM or helpdesk such as HubSpot, Salesforce, Pipedrive or Zendesk, where call logs should land automatically.
Who should not use it: a solo founder or a two-person team that mainly needs a work number and texting. CloudTalk’s strengths (queues, dialers, routing) go unused at that size, and a lighter tool such as Quo is a better fit.
Key features
- Numbers and calling. Local numbers in 160+ countries. Every plan includes unlimited calling within the US and Canada, with alternative bundles for domestic calls in the EU, UK, Iceland and Norway on the higher plans, under a fair usage policy. Special, premium and toll-free numbers are excluded.
- IVR and skill-based routing. Build a menu (“press 1 for sales”), then send callers to queues or ring groups based on agent skills. Available on all plans, though Lite is limited to one ring group.
- Dialers. The Power Dialer calls through a list one number after another (€15 per user per month as an add-on, included in Expert). The Parallel Dialer rings up to 10 lines at once and connects the agent to whoever answers. The Smart Dialer is part of Essential and Expert. A rebuilt AI Sales Dialer became available on 28 September 2026 alongside the legacy dialer; existing campaigns are not migrated and have to be recreated.
- Call recording, live monitoring and analytics. Recording and monitoring are on every plan. Lite and Starter keep recordings for one month; Essential and Expert keep them without a time limit.
- AI Conversation Intelligence. After a call ends, CloudTalk transcribes it and produces a summary, AI notes, topics, talk/listen ratio, customer sentiment and a call score. It detects 19 languages automatically, including English, Spanish, German, French, Japanese, Hindi and Vietnamese. Transcripts are searchable in AI Analytics and can be exported to PDF or synced to CRMs such as HubSpot, Salesforce, Pipedrive and Zendesk.
- AI Voice Agents. The AI Receptionist answers inbound calls, handles FAQs, routes calls and takes messages. The AI Specialist adds workflow automation, identity checks, payments, calendar sync and analytics.
- Integrations and API. CloudTalk advertises 100+ integrations, covering CRMs (HubSpot, Salesforce, Pipedrive, Zoho CRM, Close, Copper, Freshsales, monday.com, Microsoft Dynamics 365), helpdesks (Zendesk, Freshdesk, Help Scout, Intercom, Front, Gorgias), Microsoft Teams, Shopify, Zapier and Make, plus a public API and webhooks.
- MCP server. Since August 2026, accounts on Essential and higher can connect Claude, Cursor or other MCP clients to their CloudTalk data. Campaign tools need the Sales Dialer add-on.
Pricing
CloudTalk prices seats per user per month in euros. All prices below are at the time of writing, taken from the CloudTalk pricing page on 17 October 2026. Annual plans require a 12-month commitment; monthly plans have no long-term contract.
| Plan | Annual billing | Monthly billing | Minimum users | Key limits |
|---|---|---|---|---|
| Lite | €19 | €27 | 1 | 1 ring group, recordings kept 1 month, integrations need an upgrade |
| Starter | €25 | €34 | 1 | Unlimited ring groups, recordings kept 1 month, integrations need an upgrade |
| Essential | €29 | €39 | 1 | Unlimited recording retention, standard integrations, Smart Dialer, MCP server |
| Expert | €49 | €69 | 3 | Everything in Essential plus Salesforce ecosystem integrations and Power Dialer included |
Add-ons at the time of writing:
| Add-on | Price |
|---|---|
| AI Conversation Intelligence | €9 per user per month (annual) |
| Power Dialer | €15 per user per month (annual); included in Expert |
| Parallel Dialer | €39 per user per month (annual) |
| AI Voice Agents | AI Receptionist with 50 included minutes; AI Specialist €349/month for 1,000 minutes; custom pricing above 10,000 minutes |
| Branded Caller ID | from €0.07 per call (US and UK numbers) |
The pricing page also quotes AI Voice Agents “from €99 for 200 minutes”, so check the entry tier before buying. There are no setup or onboarding fees, billing is in advance, and partial months are not refunded. CloudTalk does not publish phone number rental prices on the main pricing page; they are on a separate numbers price list, so budget for them separately.
How to use CloudTalk: step-by-step
- Start the trial. Sign up on cloudtalk.io for the 14-day free trial. No credit card is needed.
- Get a number. Choose a local number in the country where your customers are, or start the process to port your existing number.
- Invite your agents. Add users and install the desktop or mobile app for each of them. The interface is available in 8 languages.
- Set business hours and a greeting. Decide what happens out of hours (voicemail, a message, or forwarding) before you publish the number.
- Connect your CRM or helpdesk from the integrations list so calls and recordings are logged against contacts automatically.
Workflow 1: route inbound calls with IVR and queues
- Create ring groups or queues for each team, for example Sales, Support and Billing. On Lite you get one ring group, so use Starter or above if you need more.
- Tag agents with skills (languages, products) so skill-based routing sends each caller to someone who can help.
- Build an IVR menu that maps each key press to a queue, and record or type the prompts.
- Assign the IVR to your number, then call it from a personal phone to test every branch.
- Use live monitoring during the first week to check waiting times and missed calls.
Workflow 2: run an outbound calling campaign
- Import a contact list or sync one from your CRM.
- Pick the dialer: the Power Dialer for one-by-one calling, the Parallel Dialer when connect rates are low and agents waste time on unanswered calls, or the AI Sales Dialer if you are setting up a new campaign today.
- Write call dispositions (interested, call back, wrong number) so every outcome is recorded.
- Run the campaign and review results in Analytics. If you used the legacy dialer, note that campaigns do not carry over to the AI Sales Dialer.
Workflow 3: turn on AI transcripts and summaries
- Make sure call recording is enabled in your call settings; transcription does not work without it.
- Add AI Conversation Intelligence and switch it on for the users who need it. Admins choose which users have AI features.
- In the Conversation Intelligence settings, set Language to auto detect or a specific language. This controls the language of summaries and smart notes, not the transcript.
- After a call, open a report in Analytics (Call Log, Group Report, Agent Report or AI Analytics), click the three-dot menu on the call, choose Call Details, open the Recording tab and scroll to Transcript.
Tips to get better results
- Start on monthly billing during rollout. Annual saves around 30%, but locks you in for 12 months. Switch once your seat count settles.
- Pick the plan by recording retention. If you need recordings for coaching, disputes or compliance, Lite and Starter’s one-month retention is a real limit; Essential removes it.
- Only give AI seats to the people who use them. Conversation Intelligence is billed per user, so enable it for sales reps and team leads, not every occasional caller.
- Use auto language detection for multilingual teams; CloudTalk detects 19 languages, but topic extraction works in English only.
- Use the Parallel Dialer carefully. Ringing up to 10 lines at once means some answered calls hear a delay; it suits high-volume prospecting, not warm follow-ups.
- Check fair use before promising “unlimited”. Calls to special, premium and toll-free numbers are excluded, and some countries get smaller bundles.
- Log everything in the CRM. The value of transcripts and summaries comes from having them on the contact record, so set up the integration before turning on AI.
Limitations and common problems
- AI costs extra. Every AI feature is an add-on. A team on Essential with Conversation Intelligence pays €38 per user per month on annual billing before numbers. Workaround: trial the AI add-on with a small group first.
- Transcription is post-call only. There are no live captions, clicking the transcript does not jump to that point in the audio, and there is no bulk export from the dashboard; bulk export needs the API.
- Low plans are limited. Lite and Starter keep recordings for a month and need an integrations upgrade for CRM sync. Most business teams end up on Essential or Expert.
- Expert has a 3-user minimum. Small teams that want the Salesforce integrations still pay for three seats.
- Euro pricing. Seat prices are shown in euros. CloudTalk’s own transcription page quotes the same numbers in dollars ($25, $29, $49 for Starter, Essential and Expert), but confirm the currency on your invoice.
- Dialer migration. The new AI Sales Dialer runs alongside the legacy dialer and campaigns must be rebuilt by hand.
Alternatives
- CallHippo - VoIP phone system priced in dollars, with a separate call-centre plan line and an AI Copilot add-on; cheaper entry plans for US-based teams.
- KrispCall - cloud phone system with numbers in 100+ countries, SMS and AI call summaries, aimed at smaller teams.
- Quo - the simpler choice for small teams that share a number and text customers a lot.
- Close - if you mainly make sales calls, the Close CRM has calling built in, and CloudTalk also integrates with it.
See every option in our phone and communication tools directory, and our guide to the best business phone system for small business prices CloudTalk against six alternatives for teams of 3 and 5. If your support team also handles chat, pair CloudTalk with a helpdesk such as Gorgias, which it integrates with.
Verdict
CloudTalk is worth signing up for if you run a sales or support team of roughly three people or more, need IVR, queues and dialers, and want calls logged in a CRM without extra work. Essential at €29 per user per month (annual) is the realistic starting plan for most teams, and Expert makes sense once you rely on the Power Dialer or Salesforce. Budget for AI Conversation Intelligence as a separate line item rather than assuming it is included.
Skip it if you are a solo user, if you mainly text customers, or if you need dollar pricing and the cheapest possible seat in the US; CallHippo or Quo will be a better match.
