For most small teams in the US and Canada, Quo is the simplest good business phone system: $15 per user a month billed annually on Starter, or $23 on Business if you want AI summaries on every call. If AI call notes matter most, Dialpad includes real-time transcripts and summaries from $15. Sales and support teams that need queues and dialers should choose CloudTalk or CallHippo, and KrispCall is the cheapest start for up to five people.
All prices are list prices at the time of writing, read from each vendor’s own pricing page (or the price data that page loads) between 11 and 18 October 2026. Six of these vendors are partners listed in our phone and communication tools directory; Dialpad is not. Partner status does not change the order or the verdicts.

How we chose
We looked at the jobs a 1-20 person business actually gives its phone system: answering and sharing a main number, texting customers, routing callers through a menu, making sales calls, logging calls in a CRM and, increasingly, writing call notes automatically. For each tool we compared the per-user price on both billing cycles, what “unlimited calling” really covers, which plan includes AI transcripts and summaries, trial and refund terms, where you can get numbers, and the CRM integrations on each plan.
This is a documentation and pricing comparison. We read each vendor’s pricing page, help centre and fair-use policy; we did not test call quality, which depends heavily on your internet connection. Where a vendor did not publish a fact, we say so instead of guessing. RingCentral is missing for that reason: its seat prices were only shown through a script we could not read on 18 October 2026.
What a phone system really costs a team of 3 or 5
No vendor shows this, so here it is. Totals are per month for the whole team, before taxes and regulatory fees.
| Tool and plan | 3 users, annual | 3 users, monthly | 5 users, annual | 5 users, monthly | AI summaries on every call? |
|---|---|---|---|---|---|
| Unitel Voice TEAM (flat, unlimited users) | $14 ($168/year) | $19.99 | $14 ($168/year) | $19.99 | No |
| KrispCall Starter | $36 | $45 | $60 | $75 | No (no recording on Starter) |
| Calilio Standard | $36 | $45 | $60 | $75 | Not listed |
| Quo Starter | $45 | $57 | $75 | $95 | No (Sona calls only) |
| Dialpad Standard | $45 | $81 | $75 | $135 | Yes, included |
| Quo Business | $69 | $99 | $115 | $165 | Yes, included |
| CallHippo Professional | $90 | $120 | $150 | $200 | Transcription yes; summaries need Ultimate or AI Copilot |
| CallHippo Professional + AI Copilot | $120 | $150 | $200 | $250 | Yes, via add-on |
| KrispCall Advance | $96 | $120 | $160 | $200 | Add-on, price not published |
| CloudTalk Essential + AI Conversation Intelligence | €114 | €117 + add-on | €190 | €195 + add-on | Yes, via €9/user add-on |
The traps that change these numbers:
- AI add-ons. Only Dialpad and Quo Business include call summaries on every call in the seat price. CallHippo’s Call Summary starts on Ultimate ($126 a month for 3 users billed yearly), and CloudTalk publishes its €9 add-on price only for annual billing.
- Trials and refunds. KrispCall has no free trial and needs a card up front, with a 14-day refund on the subscription only. CallHippo’s free Basic plan lasts 6 months.
- Plan minimums and limits. CloudTalk Expert needs at least 3 users, and Lite and Starter keep recordings for only 1 month. KrispCall Starter stops at 5 users, Calilio Standard at 10. Quo Starter has no call transfers, phone menus or HubSpot/Salesforce integration.
- Texting registration. US business texting requires A2P 10DLC registration on every tool here; Quo lists $19.50 one-time plus $1.50-$3 a month.
- Extra numbers and “unlimited”. Quo includes one number per user and charges $5 a month for each extra. CallHippo’s unlimited minutes cover domestic US and Canada calls only, with a cap of 10 calls an hour to the same number; KrispCall’s Max plan is “unlimited” up to 2,000 minutes per user a month.
1. Quo: best for small teams that text customers
Quo, formerly OpenPhone, is built for a small team sharing a business number and texting customers from a clean mobile, desktop and web app. Starter costs $15 per user a month billed annually ($19 monthly), Business $23 ($33) and Scale $35 ($47). Every plan includes one US or Canadian local or toll-free number per user, calling and texting to US and Canadian numbers under a fair-use policy, voicemail transcripts and the Sona AI agent with 1,000 free credits a month (about 10 calls).
The plan split matters. Starter limits a shared number to 10 users and gives AI call summaries and transcripts only for calls Sona answers. Business adds summaries on all calls, phone menus, transfers, group calling, analytics, auto recording and HubSpot and Salesforce integrations, and Quo says full HIPAA compliance applies on Business and Scale. If you need more Sona calls, paid credit tiers run from $25 to $199 a month. Quo is weak outside North America: international calls and texts are billed per use. There is a 7-day trial and no free plan.
2. Dialpad: best for built-in AI call notes
Dialpad is not a partner, but it is the benchmark on included AI. Dialpad Connect Standard costs $15 per user a month billed annually or $27 monthly, and Dialpad describes it as including “real-time transcripts and instant call summaries”. Pro ($25 annual, $35 monthly) adds CRM integrations, 24/7 support and multi-office management; Enterprise is priced on request. There is a 14-day free trial.
The gap between annual and monthly billing is the widest here: three users pay $45 a month on an annual plan but $81 month to month. We could not confirm Dialpad’s minimum seat counts, SMS limits or fair-use terms from its pricing page, so check those before you sign.
3. CloudTalk: best for sales and support call teams
CloudTalk is call-centre software scaled down for small teams: IVR, skill-based routing, queues, live monitoring and call recording on every plan, plus dialers and local numbers in 160+ countries (vendor claim). Prices are in euros per user a month: Lite €19 annual / €27 monthly, Starter €25 / €34, Essential €29 / €39 and Expert €49 / €69 with a 3-user minimum.
Essential is the realistic plan for most teams, because Lite and Starter keep recordings for 1 month and need an integrations upgrade for CRMs. AI costs extra: AI Conversation Intelligence (summaries, searchable transcripts, sentiment, call scoring) is €9 per user a month billed annually, the Power Dialer €15 and the Parallel Dialer €39. Essential and above also get CloudTalk’s MCP server for connecting AI assistants. The 14-day trial needs no card and includes 50 AI Voice Agent minutes.
4. CallHippo: best budget call-centre features
CallHippo offers a lot of call-centre machinery for a dollar-priced seat. For US and Canadian numbers, its Essential line runs Starter $19 per user a month billed yearly ($25 monthly) with unlimited US/Canada minutes and 100 SMS, Professional $30 ($40) with recording, transcription, 500 SMS and HubSpot, Salesforce, Pipedrive and Zoho integrations, and Ultimate $42 ($55), which adds Call Summary, SSO and 1,000 SMS. A separate Pro Suite line covers dialer-heavy teams.
AI comes in layers: transcription on Professional, summaries on Ultimate, or the AI Copilot add-on at $10 per user a month for summaries, sentiment and key topics. The WhatsApp Business API add-on lists at $20. The 10-day trial needs no card. Read the fair-use policy before you lean on “unlimited”: it covers domestic US and Canada calls only.
5. KrispCall: cheapest start for up to 5 users
KrispCall has the lowest per-user entry price among the full phone systems here. Starter costs $12 per user a month billed annually ($15 monthly) for up to 5 users, with one free US, Canadian or UK number per user and 200 outbound plus 200 inbound minutes each. Advance ($32 / $40, up to 50 users) adds call recording, transfers, the Power Dialer, bulk SMS and Salesforce; Max ($48 / $60) has no member limit and “unlimited” calling capped at 2,000 minutes per user a month.
Two cautions. There is no free trial, only a 14-day refund on the subscription, so you pay before you test. And on Advance and Max, “Call transcript & summary” carries an “Add on” label with no published price, so ask for a quote before you budget for AI notes. Calls beyond your allowance are pay-as-you-go.
6. Calilio and 7. Unitel Voice: budget options
Calilio costs $12 per user a month billed annually ($15 monthly) on Standard, for up to 10 users, and $28 ($35) on Premium with no user cap. Each plan includes one free UK, US or Canadian number and $1 of wallet credit; Standard bundles 200 outgoing and 100 incoming minutes and 100 SMS each way, Premium 1,000 / 500 minutes and 500 SMS each way. It is the only budget pick with free AI minutes: 10 minutes of AI transcription on Standard and 100 on Premium. Its pricing page does not describe a free trial or AI call summaries, so confirm both before you sign up.
Unitel Voice charges a flat price rather than per user, which suits a solo owner or a tiny US office. SOLO is $9.99 a month or $84 a year for one user and one toll-free or local number; TEAM is $19.99 a month or $168 a year with unlimited users; OFFICE is $29.99 a month or $252 a year for 3 users, plus $9.99 for each extra. All plans have unlimited minutes, and unlimited texting after carrier registration ($19.50 one-time plus $1.50 a month). There is a 30-day full refund. Its only AI is for recording greetings, so there are no call transcripts or summaries.

How to choose in five minutes
- You mainly text and call local customers in the US or Canada: Quo. Start on Starter and move to Business when you need a phone menu, transfers or a CRM.
- You want every call transcribed and summarised without add-ons: Dialpad Standard or Quo Business.
- You run a sales or support team with queues and dialers: CloudTalk Essential if you can pay in euros and need numbers in many countries; CallHippo Professional if most calls are within North America.
- You are 2-5 people on a tight budget: KrispCall Starter or Calilio Standard, accepting fewer features and pay-as-you-go minutes.
- You are solo and just need a separate business line: Unitel Voice SOLO.
- You only send texts, not calls: an SMS platform such as SimpleTexting may be the better buy.
- Your calls are all sales calls from a pipeline: a CRM with calling built in, such as Close, can replace a separate phone system.
Whichever you choose, use the trial or refund window to port one number, register for texting on day one and run a week of real calls before you commit to an annual plan. Frequently asked questions
What is the best phone system for a small business?
For most small teams in the US and Canada, Quo is the simplest good choice: Starter costs $15 per user a month billed annually, and Business ($23) adds AI call summaries on every call, IVR, transfers and CRM integrations. If included AI notes matter most, Dialpad Standard has real-time transcripts and call summaries from $15. Sales and support teams that need queues and dialers should look at CloudTalk or CallHippo.
How much does a business phone system cost per month?
At the time of writing, most cloud phone systems charge $12 to $40 per user a month, and annual billing is 20-45% cheaper than monthly. A team of 3 pays about $36-$45 a month on entry plans (KrispCall Starter, Calilio Standard, Quo Starter, Dialpad Standard, billed annually) and $69-$120 on plans with CRM integrations and AI notes. Taxes, regulatory fees, extra numbers and US texting registration come on top.
Is there a free business phone system?
Not one you can run a business on long term. CallHippo's Basic plan is $0, but only for the first 6 months, after which you must upgrade. Quo, CloudTalk, CallHippo and Dialpad offer free trials (7, 14, 10 and 14 days), KrispCall has no trial but a 14-day refund, and Unitel Voice offers a 30-day full refund.
Can I keep my existing business phone number?
Usually, yes. Quo lets each user bring a new or ported number, KrispCall ports US local and toll-free numbers free (other countries may cost extra), and CallHippo supports number porting. Keep your old service active until the port completes so you do not miss calls.
Do I need to register to send business texts in the US?
Yes. Every provider in this guide requires A2P 10DLC carrier registration before you text US customers from a local number. Fees are set by carriers and The Campaign Registry: Quo and Unitel Voice list $19.50 one-time plus a monthly fee from $1.50, and KrispCall lists a $4.50 brand fee, $15 vetting and $1.50-$2 a month.
