What is CrankWheel?

CrankWheel is screen-sharing software built for people who sell over the phone. While you are on a call, you send the prospect a link by text message, email or WhatsApp. They tap it and see your screen in their browser within seconds, on a laptop or a phone, without installing an app, creating an account or joining a video meeting. The vendor’s homepage says it takes “less than 10 seconds”.

That narrow focus is the point. Video meeting tools work well when both sides planned a meeting. They work badly when you have a homeowner, a small business owner or an insurance client on the phone right now and need to show them a quote, a policy or a product page before they lose interest. Asking that person to download Zoom or find a calendar link is often where the sale stalls. CrankWheel removes that step.

Around the core screen share, CrankWheel has added sales video recording, website lead capture that connects visitors to a rep, a remote control mode for filling in forms together, webcams and web audio for full meetings, and CRM integrations. It is made by CrankWheel ehf., an Icelandic private company. It claims more than 50,000 users; we have not checked that figure.

We have not tested CrankWheel hands-on, so this page has no rating. Everything below comes from CrankWheel’s own pricing, product and help pages, checked on 20 October 2026.

Who it is for

  • Inside sales and telesales teams that close deals on the phone and need to show something visual mid-call: pricing, a proposal, a configurator or a demo.
  • Insurance, mortgage and financial agents. CrankWheel sells an Instant ACA Marketplace Consent Form for US health insurance agents and offers 10-year recording retention free to insurance agents.
  • Solar, home improvement and B2C sales, where prospects are often on a phone and unlikely to install meeting software.
  • Teams with many occasional users. Team plans have unlimited users and charge by meeting volume, which suits large teams where each rep shares a few times a day.
  • Marketing teams that want “call me now” leads, through Instant Demos on the website.

It is not the right tool if your meetings are scheduled video calls with buyers who already use Zoom, Google Meet or Microsoft Teams; those tools are already paid for and the friction CrankWheel removes does not exist. It is also not a call recorder or AI note-taker: we found no transcription, summaries or coaching features. If that is what you want, look at our AI research and meeting tools.

Key features

  • Screen sharing. Share a browser tab, a program window or your entire screen. The prospect gets a private link by SMS, email or WhatsApp (added in 2025) and views it in any browser on desktop or mobile. A preview window on your side shows exactly what the viewer sees.
  • Remote Control. Hand control of a shared browser tab, or a selected area of your full screen, to the viewer. They can click and type, and mobile viewers can tap and use an on-screen keyboard. It is single-viewer only, the presenter must be on Windows or macOS, and control ends automatically if you switch focus away from the shared tab or lock your screen.
  • Instant Demos. A “Call me Now” style button for your website that captures an inbound lead and connects the visitor to an available rep, who can then share their screen.
  • Screen Recorder and Sales Video Platform. Record screencasts, webcam videos or meeting recordings and send them by email with animated previews, then see whether the prospect watched.
  • Instant Video Web Conferencing. Webcams for viewers, web audio and tab audio sharing, added in 2025, so a CrankWheel session can become a full meeting when needed.
  • Projector. Play a video during a share in high quality instead of streaming it through the screen capture. It works with direct .mp4 links that team admins add to company content.
  • Custom Branding. Your logo, branded meeting links and branded post-meeting links, plus a post-meeting redirect to a page of your choice. Removing CrankWheel branding entirely is a Team add-on.
  • Integrations. CRM connectors for Salesforce, HubSpot, Zoho CRM, HighLevel, Less Annoying CRM and others, plus Zapier and an API on all paid plans.

On security, CrankWheel says it achieved SOC 2 Type II and ISO 27001:2022 in 2025 and runs a Trust Center. Its privacy policy says screen snapshots are not stored longer than needed to transmit them and that it does not sell personal information.

How to use CrankWheel: step-by-step

1. Create an account and install the extension

  1. Click Sign up on crankwheel.com, enter your email address and confirm it from the email CrankWheel sends.
  2. Install the CrankWheel extension from the Chrome Web Store or Microsoft Edge Add-ons. CrankWheel recommends Chrome or Edge; Opera, Vivaldi, Brave and Chromium also work, and a web-only edition supports Firefox and Safari.
  3. Pin the extension to your toolbar so it is one click away during calls.
  4. If you cannot install extensions on a work machine, drag CrankWheel’s bookmark launcher to your bookmarks bar instead. With the launcher, hold Shift while you click Browser tab to share a tab.

2. Share your screen during a live call

This is the workflow CrankWheel is built for.

  1. While on the phone with the prospect, open the tab you want to show, for example your pricing calculator or their quote.
  2. Click the CrankWheel icon and choose what to share: a browser tab, a program window or your entire screen. A tab is the safest choice, because notifications and other windows stay private.
  3. Send the link. Type the prospect’s mobile number to text it, send it by email or WhatsApp, or copy it to paste into a chat.
  4. Tell the prospect what to expect: “I’ve just texted you a link; tap it and you’ll see my screen.” Watch the preview window to confirm they are connected and to see what they see.
  5. Talk through the content. If you need to play a product video, use Projector rather than playing it inside the shared tab.

3. Let the prospect fill in a form with Remote Control

For applications, consent forms or sign-ups, you can let the prospect type their own details while you guide them.

  1. Share the browser tab that contains the form (or a selected area of your screen) with a single viewer.
  2. Grant control from the CrankWheel controls. The controlled area is highlighted on your screen.
  3. Ask the prospect to tap into the fields and type. On a phone they get an on-screen keyboard.
  4. Watch in real time and take back control at any point. Control ends automatically if you switch away from the shared tab, so stay on it until they finish.

4. Record and send follow-up videos

  1. Turn on recording from the Options menu, then press rec during a share, or use the Screen Recorder to record a screencast or webcam video on its own.
  2. Recordings upload to the cloud, where you can download them or share them by link.
  3. Email the video to prospects who missed the call; CrankWheel shows an animated preview in the email and tracks whether it was played.

5. Set up the team and integrations

  1. Invite team members from the user access page. Team plans have no per-user charge.
  2. Add your logo and branded links, and set a post-meeting redirect, for example to a booking page or an application form.
  3. Connect your CRM (Salesforce, HubSpot, Zoho CRM, HighLevel or Less Annoying CRM) or use Zapier so meetings are logged against the right contact.
  4. If you want inbound demos, add Instant Demos to your website and decide which reps receive those calls.

Tips to get better results

  • Share a tab, not your screen. It keeps email, chat notifications and other customers’ data out of view.
  • Prepare tabs before the call. Open the quote, the product page and the form in advance so you are not searching while the prospect waits.
  • Send by SMS when the prospect is on a mobile. A text link is the fastest route; email adds a step of finding and opening the message.
  • Script the hand-off. One sentence telling the prospect a link is coming and what to tap cuts the awkward silence.
  • Use Remote Control for data entry. Letting customers type their own details reduces errors and keeps sensitive information off your keyboard.
  • Watch your meeting count. On Team plans, check usage mid-month; short tests under 40 seconds do not count, but real demos do.
  • Use the post-meeting redirect. Send viewers straight to the next step, such as a booking or payment page, when the share ends.

Limitations and common problems

  • No AI features. We found no transcription, call summaries, coaching or AI writing tools on CrankWheel’s pages. Pair it with a separate call recorder or AI phone tool if you need that.
  • Remote Control limits. One viewer only, Windows or macOS presenters only, and control drops if you change tabs or lock the screen.
  • Best on Chrome or Edge. The extension edition is the most complete. If your company blocks extensions, the bookmark launcher and web-only edition work, but sharing a tab needs the Shift-click workaround.
  • Cost scales with meetings. Team pricing is by pooled meeting volume. A busy team that runs many short demos can move up tiers quickly; check whether the Busy User discount applies.
  • Annual pricing is unclear. Solo is “48% off” annually with no amount shown, and Team annual prices are not published. Ask before you commit.
  • Trial length not stated. The trial falls back to the free plan rather than locking you out, so you will not lose access, but plan your evaluation around it.
  • Free plan has no branding. Prospects see CrankWheel branding, and you get only 15 meetings a month.

Alternatives

  • Close - a sales CRM with built-in calling, email and SMS, if you want the phone, pipeline and follow-ups in one place rather than a separate screen-share tool.
  • CloudTalk - a cloud call-centre phone system for sales and support teams that make a high volume of calls.
  • Quo - business phone numbers and shared texting for small teams that sell and support by phone.
  • Livestorm - browser-based webinars with registration pages and CRM sync, better for scheduled group demos than ad-hoc one-to-one shares.
  • Zoom, Google Meet or Microsoft Teams - fine when prospects already use them and the meeting is scheduled; more friction for a cold prospect on the phone.

Verdict

Sign up for CrankWheel if your reps sell over the phone and you regularly lose momentum asking prospects to join a video meeting. The no-download link by text message is the whole value, and Remote Control is genuinely useful for walking clients through applications. Solo at $29 a month is easy to justify for an individual agent, and the free plan plus no-card trial make it cheap to test on real calls. For teams, model your monthly meeting count first, because that drives the price. Skip it if your buyers already join scheduled Zoom or Teams calls without trouble, or if what you really want is AI call notes, which CrankWheel does not offer.

No. The viewer opens the link you send by text, email or WhatsApp in any modern browser on a computer, tablet or phone. Only the presenter needs CrankWheel, ideally through its Chrome or Edge extension.

Is CrankWheel free?

There is a free plan for one user with 15 meetings per month, up to 3 viewers per meeting and one-week recording retention, without branding options. New accounts start on a Solo trial with no credit card and fall back to the free plan if you do not pay.

Team plans include unlimited users and a pool of meetings: Team 100 covers 100 meetings a month for $99, and you stack 100-meeting blocks up to Team 2000. Yes. CrankWheel lists CRM integrations with Salesforce, HubSpot, Zoho CRM, HighLevel and Less Annoying CRM among others, plus Zapier and API access on all paid plans.

Can a prospect take control of my screen in CrankWheel?

Yes, with Remote Control. You grant control of one browser tab or a selected area of your screen to a single viewer, who can click and type, including from a phone. The presenter must be on Windows or macOS, and control ends if you switch away from the shared tab.
