  • B2B data. A built-in database Reply says covers about 1 billion contacts, searchable in the app and through the Findy Chrome extension on LinkedIn. Standard paid plans include a small monthly data credit allowance.
  • Jason AI SDR. An AI agent that scores contacts against an ICP you describe in plain language, writes sequences from a Knowledge Base of your decks, help articles, PDFs and website links, follows Playbooks for tone and structure, classifies and answers replies, and books meetings. An approval mode queues drafts for a human before they send.
  • Unified inbox. Replies from all mailboxes land in one inbox with AI-assigned categories, so interested replies do not get lost among out-of-office messages.

On Email Volume, LinkedIn automation is an add-on at $69 a month per account and calls and SMS automation at $29 a month per account, according to Reply’s site. If you need both, Multichannel is usually cheaper. Paid plans include a small monthly allowance of live data credits; contacts with an email cost more credits than contacts without one. Reply’s own blog gives different contact allowances for the Jason tiers over time, so check exactly how many active contacts and LinkedIn accounts your tier includes.

How to use Reply.io: step-by-step

1. Sign up and connect your mailboxes

  1. Start the 14-day trial at reply.io with your work email.
  2. Go to Settings -> Email Accounts and connect each mailbox you will send from.
  3. On each mailbox, open the WarmUp tab and click Connect to add it to MailToaster, or tick Import to MailToaster when you add the account.
  4. Leave ramp-up mode on for new mailboxes. Account-level Safety settings override sequence speed settings, so you cannot accidentally blast a cold domain.
  5. Use secondary domains for cold outreach, not your main company domain, and set up a custom tracking domain.

2. Connect your CRM and LinkedIn

  1. Under integrations, connect Salesforce, HubSpot, Pipedrive or Copper. Decide which side owns contact fields, since contacts sync both ways and activity flows only into the CRM.
  2. Install the Reply Chrome extension and connect your LinkedIn account if you plan to use Automatic Social steps.

3. Build your first sequence

Go to the Sequences tab and click Create New Sequence. The Sequence Wizard has three stages: Add Contacts, Add Steps and Set it Up.

  1. Add Contacts. Upload a CSV, select existing contacts, reuse data from past responses or enter contacts manually. With several mailboxes on a sequence, contacts are spread across them round-robin.
  2. Add Steps. A solid starting pattern: Day 1 email; Day 3 LinkedIn connection request (Automatic); Day 5 follow-up email in the same thread; Day 7 Condition step (did they accept the connection?) with a LinkedIn message on Yes and a call task on No; Day 10 short break-up email. Personalise every step with variables, and keep the first email under 100 words.
  3. Set it Up. In the sequence’s General Settings, set the sending schedule and time zone, the delay between emails and make sure contacts stop receiving steps once they reply. Then assign mailboxes and start.

4. Work your tasks and inbox

Calls, manual emails and semi-automated LinkedIn or WhatsApp steps appear as tasks. Open the Tasks page in the Chrome extension, pick a tab such as Manual Email, edit the draft and click Send and Complete. Check the unified inbox daily and handle replies tagged as interested first.

5. Optional: set up Jason AI SDR

  1. Describe your ideal customer in plain language and set the score threshold for leads Jason should contact.
  2. Fill the Knowledge Base with your sales deck, one-pagers, help articles and website links, so Jason can answer product questions and objections.
  3. Choose a Playbook for tone and structure.
  4. Keep approvals on for at least the first few weeks. Drafts queue as pending approvals, and you send, regenerate or reject each one. Only switch to autonomous mode once you trust the output.

Tips to get better results

  • Warm up before you send. Give new mailboxes at least two weeks in MailToaster and ramp-up mode before a real campaign.
  • Spread volume across mailboxes. Several mailboxes on secondary domains at modest daily volume beat one mailbox at maximum volume.
  • Use Condition steps. Branching on opens, replies or LinkedIn acceptance makes sequences feel less robotic and saves sends.

  • Keep a human on replies. Even with Jason, review interested replies yourself; a bad answer to a warm lead costs more than a slow one.
  • Clean your lists. Verify emails before upload, and remove bounces and unsubscribes promptly.
  • Check CRM field mapping early. Decide which system owns which fields before the first sync, not after duplicates appear.

Limitations and common problems

  • Add-on creep. The $49 Email Volume headline covers email only. LinkedIn and calls/SMS automation each add a monthly fee per account, so price the plan you actually need.
  • Jason is a separate budget. At $500 a month and up, Jason AI SDR costs more than several Multichannel seats. Trial it with approvals on and measure meetings booked, not emails sent.
  • Inconsistent pricing information. Reply’s own pages show different figures for Jason tiers and data allowances. Get a written quote.
  • LinkedIn automation risk. Automating LinkedIn actions can breach LinkedIn’s terms and trigger account restrictions. Keep volumes low and use semi-automated steps if the account matters to you.
  • Not a CRM. Deals, forecasts and revenue reporting live in your CRM, and activity sync is one-way into it.
  • Deliverability is still your job. Warm-up helps, but poor lists and pushy copy will still land you in spam.
