Google is bringing two Gemini features from its consumer AI plans into Gmail for work accounts. On October 15, 2026 it announced that AI Inbox (to-dos and topic summaries pulled from your email) and Gmail Live (spoken questions about your inbox on mobile) are rolling out to paid Google Workspace plans. Both are limited to users in the US with English (US) as their language, and both are labelled beta in Google’s help pages. The sources are the Workspace Updates posts Gmail’s AI Inbox is rolling out to paid Workspace users and Gmail Live is rolling out to paid Workspace users.
What Gmail AI Inbox does
AI Inbox has two parts. Suggested to-dos extracts action items, deliverables and deadlines from email conversations. Topics to catch up on gives summaries of your most important topics across long, multi-message threads.
It is a separate view, not a replacement for your inbox: on desktop you open AI Inbox from the left panel, and on mobile from the app menu. Each item has action buttons such as View or Reply and a Mark done option. According to the AI Inbox help page, you need both Smart features in Google Workspace and Smart features in other Google products turned on, and the first to-dos and topics can take up to 7 days to appear.
The limits matter. AI Inbox reads only the Primary tab, not Social or Promotions. Attachments, delegated inboxes and encrypted emails are not supported.
What Gmail Live does
Gmail Live is voice search for your inbox in the Gmail app on Android phones and iPhone. You ask a question out loud and Gemini answers out loud. Google’s examples include a supplier’s order status and tomorrow’s flight gate. To start, tap the Live entry point in the Gmail search bar.
Two things are new in the Workspace release: an email source card shown at every turn of the conversation, and the option to pick the voice. The Gmail Live help page still says the voice cannot be changed, so it has likely not caught up with the announcement. The help page also says Gmail Live does not work on Android tablets and saves transcripts in your Gemini in Workspace conversation history, which you can review and delete in a web browser. Consumer subscribers on Google AI Plus, Pro and Ultra got Gmail Live in September (Google’s announcement).
Which Workspace plans get AI Inbox and Gmail Live, and when
| AI Inbox | Gmail Live | |
|---|---|---|
| Editions listed | Business and Enterprise Starter, Standard, Plus; Frontline Plus; AI Pro for Education | Business and Enterprise Starter, Standard, Plus; Frontline Plus; Workspace for Nonprofits; Gemini Business, Gemini Enterprise, AI Expanded Access and AI Ultra Access add-ons; Google AI Pro for Education |
| Caveat | Starter and Education editions “in the coming months” | None stated |
| Rapid Release | Started October 12, up to 15 days | From October 15, up to 15 days |
| Scheduled Release | From October 26, up to 15 days | From October 15, up to 15 days |
| Admin control | None | On by default; follows smart features and personalization settings |
| Language and region | US, English (US) | US, English (US) |
The AI Inbox post contradicts itself on Starter plans: it lists Business Starter and Enterprise Starter, then says AI Inbox will reach Starter and Education editions in the coming months. If you are on a Starter plan, assume you do not have it yet.
Admin controls and privacy
For AI Inbox, Google says plainly: “There is no admin control for this feature.” Gmail Live is on by default for organisations with Gemini in Workspace access and respects existing smart features and personalization admin settings. Google’s post does not describe a separate Gmail Live switch, and users still need smart features turned on.
On data, the Workspace Privacy Hub says Workspace does not use customer data to train models without the customer’s prior permission or instruction, and that Gemini does not share content outside your organisation without permission. Gemini in Workspace conversations are kept for 90 days to indefinitely, as set by admins. Neither feature is named on that page, and neither help page says whether Gmail Live voice audio is stored.
Should you use it?
If you triage a busy Primary inbox, AI Inbox is worth a week of trial once it appears. Open the source email before acting on a suggested to-do, since extracted deadlines can be wrong. If you dislike it, hide it under Settings > See all settings > Inbox and uncheck Show AI Inbox.
If you want rule-based triage that does not depend on Gemini, SaneBox is a non-Google option, and Reclaim can turn to-dos into calendar time. For the bigger picture of Gemini at work, read our Gemini review, the Gemini skills guide and the Gemini 4 Argon news. More updates are in the News section.
Frequently asked questions
What is AI Inbox in Gmail?
AI Inbox is a separate Gemini-powered view in Gmail with two parts: Suggested to-dos, which pulls action items, deliverables and deadlines out of your email, and Topics to catch up on, which summarises long threads. It sits next to your normal inbox rather than replacing it, uses only the Primary tab and is still in beta.
Is Gmail AI Inbox available on Google Workspace Business Starter?
Not yet, as far as Google's wording goes. Business Starter appears in the edition list of the October 15 announcement, but the same post says AI Inbox will roll out to Starter and Education editions in the coming months. It is also limited to users in the US with English (US) as their language.
How do I turn off AI Inbox in Gmail?
Open Gmail Settings, choose See all settings, go to the Inbox tab and uncheck Show AI Inbox. Admins cannot switch it off for the organisation: Google says there is no admin control for this feature.
What is Gmail Live and how do I use it?
Gmail Live lets you ask questions about your inbox out loud in the Gmail app for Android phones and iPhone and hear the answer spoken back. Tap the Live entry point in the Gmail search bar and allow microphone access the first time. Each answer shows the source emails it used. It does not work on Android tablets.
Does Google use my work email to train Gemini?
Google's Workspace Privacy Hub says Workspace does not use customer data to train models without the customer's prior permission or instruction, and that Gemini does not share your content outside your organisation without permission. The page does not name AI Inbox or Gmail Live specifically.
