What is Manychat?
Manychat is a chat marketing platform that automates conversations on Instagram, Facebook Messenger, WhatsApp, TikTok, Telegram, SMS and email. Its most used feature is simple: when someone comments a keyword on your Instagram post or reel, Manychat replies publicly and sends them a direct message with a link, a discount code or the start of a conversation. Everything else, from lead capture to WhatsApp broadcasts, builds on the same idea of turning engagement into a conversation you control.
The company is Manychat, and the product works through Meta’s official Instagram, Messenger and WhatsApp APIs rather than by automating a logged-in account. Automations are built in a visual Flow Builder, contacts are stored with tags and custom fields, and a shared Inbox lets humans take over when a conversation needs one.
The problem it solves is scale. A creator with 50,000 followers cannot answer every “link please” comment by hand, and a shop cannot staff WhatsApp around the clock. Manychat answers instantly, captures the person as a contact and keeps the conversation going toward a goal such as a sign-up or a sale.

It is also a poor fit for anyone unwilling to work within Meta’s messaging rules, which limit when and how often you can message people.

Pricing
Manychat introduced a new pricing model on 2 March 2026 for new accounts, rolling it out to older accounts by country. It has five plans, all per account, with monthly or annual billing. The central metric is Active Contacts: people who interact with you through Manychat during the billing month. Overages are billed automatically rather than pausing automations, and you can cap them under Settings > Billing > Subscription > Set your contact limit.

Essential and Pro have 14-day free trials; Business and Advanced do not. Extra Inbox seats are $25 each on Pro and above. Refunds are available within 30 days of the first purchase. How to use Manychat: step-by-step
1. Prepare your Instagram account and sign up
- Switch your Instagram account to a professional account (Business or Creator). Personal accounts cannot connect.
- Go to manychat.com, click Get started, choose Instagram from the “Where would you like to start” list and sign up with Facebook or Google.
- Choose a connection method. Connect Via Meta is recommended and unlocks Follow to DM and Conversions API tracking, but needs a Meta Business Portfolio. Connect Via Instagram is quickest and needs no Facebook Page. Connect Via Meta Business Suite suits agencies that also run ads; it requires Admin with Full Control of the linked Facebook Page.
- Approve the permissions, answer the onboarding questions and click Let’s Start.
To add another channel later, open Settings, pick the channel (Facebook, WhatsApp, TikTok, Telegram) and click Connect.
2. Build a comment-to-DM automation
This is the automation most people want first: someone comments “GUIDE” and receives the link by DM.
- Click Automation in the sidebar, then + New Automation, + Start From Scratch and Start with a blank.
- In the Flow Builder click + New Trigger and pick User comments on your Post or Reel from the Instagram tab.
- Choose Specific post or reel, All posts or reels or Next post or reel, then click Continue.
- Under keywords, choose Include certain words and add your keyword plus common misspellings, or pick Any comment for a giveaway. Click Continue.
- Add two or three public reply variants (“Sent you a DM!”, “Check your inbox”). Manychat rotates them to look natural. Click Save.
- Add the first step: select Instagram to add a Send Message node and tick Send as a Private Reply. This first node can hold one text or image block with buttons or Quick Replies only.
- Add a Quick Reply such as “Send me the guide”. When the person taps it, the 24-hour messaging window opens and they become an opted-in contact. A button that opens a website does not count as an opt-in.
- After the Quick Reply, add a message with the link, and an Action that adds a tag such as
guide-oct. - Click Preview (in Manychat or on Instagram), then Set Live.
Instagram fires this trigger only on a user’s first comment per post, so the same person cannot trigger it twice with the same keyword.
3. Capture a lead and sync it
- After the link message, add a User Input step asking for an email address, with the answer saved to the system email field (Essential and above).
- Add a Condition that checks the contact is a follower; if not, ask them to follow before sending the resource.
- Add the Google Sheets action to append the contact’s name, email and tag to a sheet, or on Pro use an integration to push to your CRM or email tool.
4. Use the AI Step for qualification (Pro and above)
- In an automation, double-click the canvas or click the blue + and choose AI Step.
- Write a goal (“Find out what the person wants to achieve and whether they have a budget for coaching”) and context (your offer, prices, FAQs, tone, language), then click Generate.
- Review the tasks it created, add any custom tasks with New Task, and tick the option to save answers to fields.
- Click Save & Start Chat to test it, then make sure the automation has a trigger and set it live. AI Step works on Messenger, Instagram, WhatsApp, TikTok and Telegram.
For always-on question answering on Instagram, open the Manychat AI tab, add Knowledge entries (a link per page, or text up to 250k characters) and enable AI Replies, AI Comments and AI Goals. The AI only acts when no other automation matches the message.
5. Connect WhatsApp and send a broadcast (Pro and above)
- In Settings > WhatsApp, connect a WhatsApp Business number through Meta, or transfer an existing number following Manychat’s guide.
- Create message templates and submit them to Meta for approval.
- Build a flow in Instagram that asks “Want updates on WhatsApp?” and collects the phone number, then moves the contact to WhatsApp.
- Use Broadcasts to send an approved template to opted-in WhatsApp contacts. Meta charges per conversation, so segment with tags rather than sending to everyone.
6. Set up the Inbox and your team
- Open Inbox to see live conversations. Assign Inbox seats to the people who answer.
- On Pro, create custom labels and rules to sort conversations by intent or campaign. On Business, add lead routing so new conversations go to the right person.
- Install the Manychat mobile app so replies do not wait for someone at a desk.
7. Watch usage
- Check Insights for Active Contacts and the trend graph, and Settings > Billing > Subscription for your limit and overage charges.
- Set a contact limit if you would rather pause than pay overages. Manychat notifies you at 70%, 90% and 100% of your plan.
Tips to get better results
- One keyword per campaign. Short, unusual words (“GUIDE”, “PRICING”) trigger reliably; common words fire on unrelated comments.
- Ask for a tap before the link. A Quick Reply opens the 24-hour window and opts the person in; a bare link does not, and you lose the contact.
- Rotate public replies and avoid emoji-only replies. Instagram’s spam systems flag identical short responses.
- Add a Smart Delay of a few seconds before the first DM so it does not look robotic.
- Tag everything. Tags by campaign and interest let you segment broadcasts and keep WhatsApp costs down.

- Use Next post or reel when you schedule content so the automation is live the moment the post goes up.
- Review Active Contacts weekly in the first month. Comment campaigns on a viral post can blow through a plan in a day.
Limitations and common problems
- Active Contact overages. The free plan’s 25 contacts disappear fast, and paid plans bill per extra contact automatically. Set a limit if budgets are tight.
- Meta’s messaging rules. You can only message freely inside the 24-hour window after a user interaction; outside it you need approved templates (WhatsApp) or specific message tags. This is Meta’s policy, not Manychat’s.
- First-comment-only trigger. A user who comments the keyword twice on the same post gets one DM. Tell your audience to DM you if they missed it.
- Channel limits by plan. WhatsApp, SMS and email are Pro and above, and Free and Essential allow only two connected channels.
- Legacy accounts. Accounts created before March 2026 may still be on older plans until Manychat migrates them; the help centre and pricing page can show different numbers for a while.
- AI is in beta on Instagram and English-centric context works best; it will misread very short messages or similar languages at times.
- Branding on the free plan. First messages show a “Powered by Manychat” note until you upgrade.
